How to Schedule Instagram Posts: A Practical Guide

To schedule Instagram posts, you prepare each post in advance and let a scheduling tool publish it at the time you set. This guide covers what you need, what to check before a post goes out, and how to build a posting routine you can keep up.

What an Instagram scheduler needs from your account

Instagram only lets outside apps publish to professional accounts, and every tool has its own requirements on top. Lacamio needs:

  • An Instagram professional account. If you still have a personal account, you can switch to a business or creator account in Instagram's settings.
  • A linked Facebook Page. Lacamio reaches your Instagram account through the Facebook Page it's linked to. You can set up that link in Instagram or in Facebook.
  • Meta login. When you connect, you sign in with the Facebook account that manages the Page, then choose which Page and which Instagram account to connect to the brand. You can select the two separately.

Lacamio can't connect personal accounts or Instagram accounts without a linked Facebook Page.

What you can and can't schedule

With Lacamio, you can schedule these to Instagram:

  • A feed post with one image, with a caption and hashtags.
  • A video as a Reel: videos sent to the feed are published as Reels, and you pick the frame used as the cover.
  • A Story from an image or a video. A Story stays visible for 24 hours and has no caption, so everything important has to be in the image or video itself.

Every post needs an image or a video; Instagram doesn't allow text-only posts.

What Lacamio doesn't do on Instagram today: multi-image (carousel) posts, first comments, and collaborator, people or location tags. You handle those, along with edits to posts that are already live, in the Instagram app.

Content calendar and posting rhythm

Scheduling pays off most when you can see the next few weeks ahead. A simple process:

  1. Pick a few recurring themes, such as product, behind the scenes, customer stories and tips.
  2. Match a format to each theme: what works as an image, what as a Reel, and what as a Story.
  3. Mark the fixed dates: holidays, sales, events and campaign launches.
  4. Fill in one or two weeks, or a month, ahead, but leave room for timely, reactive posts.
  5. Work in batches: write and schedule the week's posts in one sitting instead of scrambling every day.

When it comes to rhythm, consistency matters more than volume. Pick a frequency you can sustain for months: your followers learn when to expect you, and you don't have to replan every week.

Pre-flight checklist

A scheduled post goes out while you're busy with something else, so mistakes surface late. Check these points. The numbers are Instagram's current limits for posting from outside apps, and they can change over time.

  • Caption: up to 2,200 characters. Only the beginning shows in the feed, so put the key message in the first line.
  • Hashtags: Instagram limits how many hashtags a post can have, and it has tightened that limit recently. Use a few relevant hashtags rather than many generic ones.
  • Mentions: a post can include up to 20 mentions (@).
  • Links: links in a caption aren't clickable, so don't build your call to action around them.
  • Image: JPEG, up to 8 MB, with an aspect ratio between 4:5 (portrait) and 1.91:1 (landscape). Square images fit too.
  • Reel video: MP4 or MOV, from 3 seconds to 15 minutes. Pick a cover, because that's what shows on your profile.
  • Story: a 9:16 aspect ratio (1080×1920 pixels) is recommended; for video, 3 to 60 seconds and up to 100 MB.
  • Timing: the date, the time and the time zone are all correct.

Choosing times from your own results

There are plenty of “best time to post” lists out there, but your audience's rhythm may differ. They're fine as a starting point, but base the decision on your own data:

  1. Pick a few days and times, and post in those slots for a few weeks.
  2. Compare likes and comments per post. Professional accounts also get statistics in the Instagram app.
  3. Change one thing at a time: if you're testing the time, keep the content type similar.
  4. Turn what works into a fixed slot and replace the rest.

Time zones for clients abroad

If your client or their audience is in another time zone, 9 AM doesn't mean the same thing for you and for them.

  • Always think in your audience's local time, not your own.
  • Set one time zone per client, and use it in your content calendar too.
  • Watch for daylight saving time: not every country changes its clocks on the same day, so double-check times around the switch.
  • If the audience spans several time zones, go with the time of your most important market.

A queue with fixed slots and recurring posts

The point of a queue is that you set the times once, and after that you only have to create the content. In Lacamio, you set weekly slots in the Brand kit, such as Tuesday at 9 AM and Thursday at 6 PM, and “Add to queue” puts the post in the next free slot.

Recurring posts are for content that truly repeats: a weekly series, a monthly reminder, a regular opening-hours or offer post. Review the series from time to time so outdated information doesn't go out.
